Here at Scolmore, we are looking for a Receptionist/Returns Coordinator to support the day-to-day operation of reception and returns administration. This is a dual role which combines returns coordination and reception cover. As Returns Coordinator, you will be responsible for the entry of all debits on to the system and fully support the day to day administration of the returns goods process. As Receptionist, you will act as the first point of contact for anyone calling or visiting Scolmore head office, ensuring a professional, welcoming front of house experience wile also managing the switchboard and providing general administrative support to the Customer Service team and wider business.
This is a permanent full time position which is fully office based at our head office in Tamworth.
Main Duties
Returns Coordination:
• Process customer returns, debit notes, and credits accurately through company systems.
• Manage returns enquiries and resolve issues in a timely and professional manner.
• Coordinate collections, investigate discrepancies, and liaise with internal departments and external partners to achieve positive outcomes.
• Maintain accurate records, reports, and supporting documentation.
• Monitor outstanding returns and proactively drive resolutions.
Reception & Front-of-House:
• Deliver a professional and welcoming experience for all visitors to Head Office.
• Manage the switchboard, directing calls and enquiries appropriately.
• Oversee visitor management procedures and support site health and safety processes.
• Prepare ground floor meeting room and manage the ordering of refreshments.
• Manage incoming and outgoing mail and support document archiving activities.
Collaboration & Administrative Support:
• Build effective working relationships across Customer Services, Sales, Operations, Quality, and Finance teams.
• Provide administrative support to the Customer Services function and wider business.
• Identify opportunities to improve processes and enhance service delivery.
• Undertake other reasonable duties in line with the needs of the business.
Skills and Experience
Essential:
• Previous experience within a customer service, administration, returns, or office support environment.
• Excellent customer service and interpersonal skills.
• Professional, presentable, and approachable manner.
• Strong verbal and written communication skills.
• Excellent organisational skills with the ability to manage multiple priorities effectively.
• Strong attention to detail and commitment to accuracy.
• Ability to work independently and take ownership of workload.
• Proactive and solution-focused approach to problem solving.
• Experience using Microsoft Outlook and Excel.
• Experience working with ERP systems or similar business software.
• Ability to build positive working relationships across multiple departments.
Desirable:
• Previous reception or front-of-house experience.
• Experience handling returns, credits, debit administration, or logistics-related activities.
• Knowledge of document management and archive systems.
